Document processing and workflow automation

From incoming reports to a controlled action queue.

Document intake / Extraction / Human review / Action routing

01 / Situation

The situation

A field-services team received laboratory, inspection and assessment reports as PDFs. Each file had to be read, selected values captured into a spreadsheet and the same information entered into an operating system.

The useful signal was trapped inside documents, while decisions depended on consistent extraction, validation and follow-up.

02 / Friction

What it was costing

Repeat capture created avoidable handling and made it difficult to see which reports were complete, uncertain or waiting for action.

Specialists spent their attention moving information between tools instead of reviewing exceptions and deciding what should happen next.

03 / System

What we built

We created a controlled intake that classified each document, extracted agreed fields, preserved the source file and confidence state, and routed exceptions to a human review queue.

Approved information updated the working record and prepared the next action. Sensitive decisions and external communication remained with the team.

04 / Result

The result

  • Incoming files entered one traceable queue with a visible status and owner.
  • Low-confidence values moved to review instead of passing silently into the operating record.
  • Approved information became reusable downstream without repeating the original capture step.

Document workflows and data analytics

From scattered property records to a queryable portfolio view.

Document register / Data provenance / Portfolio view / Controlled export

01 / Situation

The situation

An owner-managed property portfolio held deeds, policies, municipal records, maintenance documents, spreadsheets and photographs across different folders and inboxes.

Preparing a complete view for a decision or adviser had become a retrieval exercise rather than a simple query.

02 / Friction

What it was costing

Important dates, gaps and inconsistencies were difficult to see. The same information pack had to be rebuilt whenever a different decision or adviser required it.

The portfolio had documents, but it did not yet have a dependable information layer.

03 / System

What we built

We built a structured register that linked each property to its approved documents, key fields, review dates and data provenance. A portfolio view made the records filterable and produced a controlled export for each agreed purpose.

Legal interpretation, valuation, financial advice and final decisions remained with qualified people and the owner.

04 / Result

The result

  • Every property gained a consistent record with source documents attached.
  • Missing information and review dates became visible across the portfolio.
  • Decision packs could be assembled from approved fields without rebuilding the source register.
  1. Document register
  2. Data provenance
  3. Portfolio view
  4. Controlled export
Implementation details
01Context
An owner-managed property portfolio with records held across documents, spreadsheets and inboxes.
02Problem
Documents and key facts are difficult to retrieve, compare and prepare for decisions.
03Existing workflow
Folders and inboxes → manual search → spreadsheet assembly → adviser pack.
04Solution
Document register, structured fields, data provenance, portfolio filters and controlled exports.
05Oversight
People verify records and retain all legal, financial, valuation and property decisions.
06Validation approach
Record inventory, field validation and decision-view review.
07Outcome
A queryable portfolio record with visible gaps and reusable decision packs.
08Delivery artefacts
Portfolio register, completeness view and controlled adviser export.

SEO and content workflows

From scattered search signals to a prioritised content route.

Demand evidence / Page decisions / Editorial review / Measurement

01 / Situation

The situation

A specialist-services business published pages whenever an internal idea surfaced. Search Console exports, keyword notes and competitor observations lived in separate files, with no shared link between search demand, service priorities and the publishing queue.

The team could not tell quickly whether an existing page should be improved, a new page was justified or a topic sat outside the business's useful territory.

02 / Friction

What it was costing

Writers repeated research, pages competed for the same intent and valuable customer questions sat outside the plan.

Reporting described traffic after the fact but did not improve the next editorial decision.

03 / System

What we built

We combined search-demand data, Search Console exports, current-page coverage and a focused competitor-page sample. Queries were grouped by intent, connected to a service and recorded with their evidence source, confidence and review status.

A prioritised queue moved selected opportunities into a brief, subject-matter review, editorial approval, publication and a measurement log. People remained responsible for usefulness, accuracy, brand voice and the decision to publish.

04 / Result

The result

  • An opportunity map separated improve, create, consolidate and do-not-pursue decisions.
  • A prioritised brief queue gave every selected topic an owner, evidence links and review stages.
  • The measurement log connected published work to the original decision instead of treating reporting as a separate activity.
  1. Demand evidence
  2. Page decisions
  3. Editorial review
  4. Measurement
Implementation details
01Context
A specialist-services business coordinating SEO research, editorial work and performance review.
02Problem
Disconnected research, page coverage and publishing decisions create an unprioritised content process.
03Existing workflow
Ad hoc idea → separate research files → manual brief → publication → disconnected reporting.
04Solution
Evidence register, intent clustering, page decision, prioritised brief queue, review and measurement log.
05Oversight
Subject-matter and editorial reviewers approve accuracy, usefulness, voice and publication.
06Validation approach
Baseline content review, prioritisation cycle and post-publication measurement cadence.
07Outcome
A traceable content pipeline connecting demand evidence, page decisions and performance review.
08Delivery artefacts
Opportunity map, prioritised brief queue and measurement log.

Workflow automation and dashboards

From scattered certification updates to one operational view.

Status model / Exceptions / Approvals / Operational reporting

01 / Situation

The situation

A distributed team tracked training and certification progress across a learning platform, forms, documents, spreadsheets and email. Completion, approval and downstream administration did not share the same record.

Managers needed one dependable view of who was ready, what was missing and which hand-off came next.

02 / Friction

What it was costing

People spent time reconciling records and chasing updates. Delays remained invisible until an approval or administrative deadline was close.

The reporting process described what had already gone wrong but did not make the next required action clear.

03 / System

What we built

We built a lightweight tracking layer that consolidated approved status signals, showed exceptions by team and notified the right owner when a defined stage was reached.

The dashboard exposed source and freshness instead of pretending every system agreed. Approvals and sensitive employment decisions remained with authorised people.

04 / Result

The result

  • Managers gained a shared view of progress, missing evidence and stalled approvals.
  • Exceptions carried an owner and next action instead of disappearing into a spreadsheet.
  • Downstream administration received a controlled hand-off once the required checks were complete.
  1. Status model
  2. Exceptions
  3. Approvals
  4. Operational reporting
Implementation details
01Context
A multi-site team coordinating training, certification, approval and administration.
02Problem
Fragmented progress records and manual hand-offs between learning, approval and administration.
03Existing workflow
Multiple source systems → spreadsheet reconciliation → inbox follow-up → manual status reporting.
04Solution
Shared status model, exception view, notifications and controlled hand-offs.
05Oversight
Authorised managers retain approval, policy interpretation and employment decisions.
06Validation approach
Source reconciliation, operational validation and post-launch exception review.
07Outcome
One operational view of progress, missing evidence, ownership and next actions.
08Delivery artefacts
Status dashboard, exception view and approval hand-off.
